Job Description
GCPRO Restoration, a leading full-service restoration contractor in the Chicagoland market, is seeking a highly motivated and detail-oriented individual to join our team as a Client Services Specialist. This role is crucial in ensuring excellent customer service, efficient communication, and effective lead conversion. The ideal candidate will have a background in construction or restoration, strong communication skills, and a go-getter attitude.
Answer incoming phone calls and emails professionally.
Greet clients and visitors, ensuring prompt and courteous service.
Handle client inquiries, providing accurate information and resolving issues efficiently.
Schedule appointments and coordinate meetings with clients, subcontractors, and team members.
Conduct client care calls to maintain communication and provide consistent updates.
Follow up with clients to ensure satisfaction and address any concerns.
Respond promptly to online inquiries and leads from Google, Yelp, and other platforms.
Engage with potential clients, assess their needs, and present our services effectively.
Convert leads into appointments and scheduled jobs by communicating our value proposition.
Maintain and update lead tracking systems with accurate, timely data.
Build and manage sales funnels to maximize conversion rates.
Collaborate with the Digital Marketing Associate to increase lead volume, online bookings, and conversion rates.
Take sales calls and convert them into scheduled cleaning services.
Consistently work towards meeting weekly sales goals.
Follow up after initial service to convert one-time clients into repeat clients.
Open new leads/jobs in DASH during initial calls and input all available information.
Evaluate situations to initiate communication with the appropriate department.
Provide a “warm handoff” to Project Managers for scheduling meetings.
Print necessary documents for field files from DASH (e.g., water package).
Ensure inspection meetings are scheduled.
Assist PMs with dispatching crews as needed.
Ensure tasks are added to the DASH calendar.
Maintain job records, including dates, notes, photos, and documents in DASH.
Follow up to collect missing homeowner and insurance/mortgage details.
Monitor and update job progress in DASH to maintain workflow efficiency.
Help PMs coordinate crew scheduling and communicate with homeowners.
Keep the construction calendar updated in DASH.
Coordinate with EMS on possible construction and/or contents phases.
For jobs requiring construction and/or contents services, open linked jobs in DASH.
Assign Project Managers based on predefined criteria and management input.
Manage claim intake from start to ensure all meetings, documentation, and notes are completed.
Maintain consistent (often daily) communication with customers.
Confirm employee and subcontractor availability aligns with customer schedules.
Communicate any scheduling changes to clients.
Ensure product selections are made, ordered, and installed on time.
Address inquiries and follow up after each day’s work to ensure client satisfaction.
Record relevant notes in both jobs and contact manager as needed.
Monitor program and company compliance.
Answer and direct incoming phone calls.
Schedule carpet cleaning services.
Assist in AR (Accounts Receivable) processes: send 20-day letters, make 25-day phone calls, and follow up on checks.
Follow up on deductible collections.
Communicate with adjusters and agents regarding estimate approvals or general inquiries.
Analytical Skills – Ability to synthesize complex information and make data-driven decisions.
Problem Solving – Proactively identify and resolve issues effectively.
Technical Skills – Comfort with learning and using industry-specific tools and software.
Interpersonal Skills – Ability to handle conflict, maintain confidentiality, and build strong relationships.
Oral & Written Communication – Excellent verbal and written communication, with attention to detail.
Teamwork – Collaborative team player who contributes to shared goals.
3+ years of experience in customer service or administrative roles, ideally in construction/restoration.
Strong understanding of construction terminology and workflow.
Proficiency in Microsoft Office and customer management systems (e.g., DASH).
Exceptional organizational skills and attention to detail.
Ability to multitask and thrive in a fast-paced environment.
Positive, proactive mindset with a strong work ethic.
Motivation to succeed in a sales-oriented, client-facing environment.
Competitive salary: $45,000 – $60,000/year, plus potential performance-based bonuses.

The Construction Project Manager at GCPRO is responsible for managing and overseeing all assigned construction projects from inception to completion. This includes customer service, vendor selection, materials procurement, scheduling, budgeting, financial reporting, safety compliance, and quality control. The Construction Project Manager will also be on an On-Call Team, with occasional night and weekend work requirements.

The employee is required to regularly move and walk around the construction site and occasionally use tools to complete minor tasks.
This position offers a competitive base salary and a comprehensive benefits package, including an auto allowance, fuel card, expense account, company laptop, cell phone, and company apparel. Our benefits package includes health insurance plans (medical, dental, vision), a 401(k) plan with a guaranteed match, 12 paid holidays, and 3 weeks of PTO. Additionally, this position is eligible for an annual, uncapped performance-based commission.
Salary Range: $65,000 – $115,000
